Cemeteries Committee Meeting 21st February 2013

Minutes of Cemeteries Management Committee Meeting held on Thursday 21st February 2013 following a meeting of the Town Council Office (approx. 6.30pm)

 

1.  PRESENT: Cllrs Weir, Bilboe, Hinson, Palin, Mrs Dargue and Mrs Lewis together with the Clerk

 

2.  APOLOGIES FOR ABSENCE:

No apologies for absence were received.

 

3.  DECLARATIONS OF INTERESTS

Cllr Weir declared an interest in item 8.1.

 

4.  CLERKS REPORT:

RECOMMENDATIONS – That the Committee notes the contents of the report.

4.1: Drill hired for fencing work, returned after one day.

4.2: Panel heaters with timers ordered for installation by electrician in mess room and computer room and West Cemetery

4.3: Requests to memorial mason re: granite plaques

4.4: Machines booked in for annual service before spring.

4.5: Nail gun hired for remaining fencing work.

4.6: Operatives attended manual handling training course.

It was RESOLVED that the Clerks report be accepted.

 

5.  VISITOR’S BOOK AND TIMESHEETS:

RECOMMENDATION – That the Committee inspect the following documents.

5.1: The Superintendent’s Futures Report will be presented for inspection by the Members.

5.2: The time sheets will be available for inspection

5.3: The Visitor’s Book is available for inspection at the office from Thursday afternoon.

6 Member’s Comments on the Future Report, Visitor’s Book, Timesheets and the condition of the Cemetery

It was noted from the visitors book that a memorial was removed prior to the permit being authorised.  The clerk would address this issue with the Superintendent and the need to maintain a tighter control on this procedure.

Cllr Mrs Lewis requested that the removal of weeds and edging of grass around town seats and bases should be done annually as in the winter works programme.  The trees on Percy Drive also required some maintenance as some were beginning to encroach over the footpath.

The Futures report indicated the painting of the machine store doors, the Clerk informed this was due to graffiti; the Council recommended that if possible spray paint be used for quickness.

The greenhouse that was gifted to the Committee by the Superintendent would be erected for use.

 

7. COMMUNICATIONS: There were no communications.

 

8. AGENDA ITEMS:

8.1: To consider the future of the Tanaka brushcutter – as the Tanaka was redundant due to age and the need for repairs, it was RESOLVED to gift it to Pride in Amble who would investigate the repair of the machine for their use or possible disposal.

8.2: To consider replacement of the fountain pump; it was RESOLVED to investigate the make and model on the existing pump and if necessary investigate a replacement pump with fountain heads.

8.3: The Consideration of Double Depth interments – It was RESOLVED that due to safety reasons given at a Manual Handling Training Course, Double Depth interments be contracted out at present.

 

9. INFORMATION ITEMS: There were no information items.

 

10. DATE & TIME OF NEXT MEETING:  The next Meeting is scheduled to be held on Thursday 21st March 2013 at 6.30pm. in the Council Office, The Quayside
