MenuMinutes of Amble Town Council Cemeteries Management Committee Meeting held on Thursday 20th December 2012 at 6.30pm in the Town Council Office
1. PRESENT: Councillors Weir (Chairman), Hinson, Palin, Mrs Dargue and Mrs Lewis together with the Clerk, Miss Brown.
2. APOLOGIES FOR ABSENCE: Cllr Bilboe – Prior commitment. The apologies were accepted.
3. DECLARATIONS OF INTERESTS: Cllr Mrs Lewis declared a personal interest in 4.4.
4. CLERKS REPORT:
4.1: The materials for the fence and gate had been delivered. Work was to commence in the 2013
4.2: Memorial wall works on going
4.3: Tree works complete
4.4: The Clerk had been unable to make contact with the company who originally offered to made memorial plaques and so had requested a quote from a further company who were able to provide 8 x 6 inch and 8 x 12 inch granite plaques at a reasonable price; but they hand cut each letter. The Clerk would request confirmation of the quote in writing. It was RESOLVED that if the written quote was returned with the same prices as discussed over the phone then the Clerk accept this quote and use this company for future orders. However the item would need to be revisited in the January meeting to discuss lettering etc. before they could be offered to the community for purchase.
5. VISITOR’S BOOK AND TIMESHEETS:
5.1: The Superintendent’s Futures Report was not completed.
5.2: The time sheets were available for inspection.
5.3: The Visitor’s Book was available for inspection at the office from Thursday afternoon.
6 Member’s Comments on the Future Report, Visitor’s Book, Timesheets and the condition of the Cemetery
The above were acknowledged for information. An item in the timesheets was discussed and moved to Private.
7. COMMUNICATIONS: None.
8. AGENDA ITEMS:
8.1: Consideration of Cemetery Management Software trial – the assumed benefits were discussed. It was RESOLVED that the Clerk would carry out a free trial of the software in the new year and report back to the Cemeteries Committee.
9. INFORMATION ITEMS:
9.1: ICCM – The Journal – Winter 2012
The information item was accepted.

P.1: Cemetery Timesheets: A problem in the timesheets was discussed and it was decided the Clerk would resolve the issue with the Operatives.
