Cemeteries Management Committee meeting held 25th October 2012

Minutes of Amble Town Council Cemeteries Management Committee Meeting held on Thursday 25th October 2012 at 5.30pm in the Town Council Office

A site visit had been held on Tuesday 23rd October 2012 at 5.30pm.

 

1.  PRESENT: Councillors Weir (Chairman), Hinson and Mrs Lewis together with the Clerk, Miss Brown.

 

2.  APOLOGIES FOR ABSENCE: Cllr Mrs Dargue and Cllr Bilboe; the reasons for absence were given and accepted on the proposal of Cllr Mrs Lewis, seconded by Cllr Hinson and agreed.

 

  1. 3.    DECLARATIONS OF INTERESTS: None.

 

  1. 4.    CLERKS REPORT:

4.1: Electrician looking into heating for Cemetery Office

4.2: John Deere draw bar bent, replacement ordered.

4.3: Tax Disc updated for John Deere lawn tractor.

4.4: Original East Cemetery map archived.

The Clerks report was accepted on the proposal of Cllr Mrs Lewis, seconded by Cllr Weir and agreed.

 

5.  VISITOR’S BOOK AND TIMESHEETS:

5.1: The Superintendent’s Futures Report was presented for inspection by the Members.

5.2: The time sheets were available for inspection

5.3: The Visitor’s Book was available for inspection at the office from Thursday afternoon.

6 Member’s Comments on the Future Report, Visitor’s Book, Timesheets and the condition of the Cemetery

The timesheets and diary were circulated.  It was queried why time had been spent bailing out a grave when there was a dirty water pump at the cemetery.

Broader descriptions were required in the future for Future reports and a section name change to more accurately reflect requirements..

Accidents should be noted in the diary with the names of any visitors. Would suggest ‘The diary should record all notable events as well as visitors to the cemetery’

The dumpy bag of soil required moving, the Clerk would discuss different sites with the Superintendent.

The removal of moss in particular from the bottom path and the gully should be made a priority job for a fair day, in the future these should be checked/ brushed at least once a month to avoid build up as at present.

The cutting back of shrubs was required.

The Clerk was to (carry out random visits to) continue to regularly monitor work in the Cemetery.

The bed in front of the office would require reorganisation in the spring.

 

7.  COMMUNICATIONS:

7.1: CWGC – Private Sydney Crackett – The Clerk read out the email from CWGC which explained the memorial was in the process of manufacture.

 

8. AGENDA ITEMS:

8.1: Winter works – Fence bordering allotments – It was proposed by Cllr Mrs Lewis that the Clerk measure and price the materials for the fence and for a pedestrian access gate to be situated at the opening that adjoined this land to the allotments, along with the cost of hiring a post hole digger. Contractor prices for the work would be ascertained for comparison; the Chairman, Vice- Chairman and Clerk were delegated to progress the matter. This was seconded by Cllr Hinson and agreed

8.2: Memorial wall – Update It was proposed by Cllr Weir to build a short wall on the inside of the existing wall  to stop the soil coming out of gaps at the buttress, paint the breeze blocks with a stone coloured masonary paint to blend better and the planter be planted with evergreen clematis and honeysuckle.  This was seconded by Cllr Hinson and agreed.

Cllr Mrs Lewis suggested adding an article to the newspage highlighting the memorial plaques for the wall. This was agreed.

8.3: Consideration of recommended Tree works – The works as specified in the report were agreed on the proposal of Cllr Weir, seconded by Cllr Hinson and agreed.  The waste wood would be made available at no cost to members of the public to remove as seen by prior arrangement with the Clerk.
