Minutes of Amble Town Council Cemeteries Management Committee Meeting held on Thursday 15th November 2012 at 6.30pm in the Town Council Office

 

1.  PRESENT: Councillors Weir (Chairman), Bilboe, Hinson, Palin, Mrs Dargue and Mrs Lewis together with the Clerk, Miss Brown.

 

2.    APOLOGIES FOR ABSENCE: None.

 

3.    DECLARATIONS OF INTERESTS: None.

4. CLERKS REPORT:

4.1: Quote requested for plan of section M, plotting out of plan for sections P & N and ashes ongoing.

4.2: Register of grave spaces for section P ordered.

4.3: Response to queries raised on Cemetery Rules answered.  Rules circulated to members and Funeral Directors

4.4: Response to queries raised on interment form answered. Interment form rolled out to funeral directors

4.5: Materials ordered for continuing works to memorial wall

4.6: Quotes requested for fence

4.7: Tree works expected to commence 3rd December.

4.8: Contractor hired to dig grave

 

5.  VISITOR’S BOOK AND TIMESHEETS:

5.1: The Superintendent’s Futures Report will be presented for inspection by the Members.

5.2: The time sheets will be available for inspection

5.3: The Visitors’ Book is available for inspection at the office from Thursday afternoon.

 

The visitors’ book and time sheets were not available on this occasion.

 

6 Member’s Comments on the Future Report, Visitor’s Book, Timesheets and the condition of the Cemetery

The Clerk gave a report of the circumstances of hiring the contractor and his procedures.

 

7.  COMMUNICATIONS: None.

 

8. AGENDA ITEMS:

8.1: Winter works – Fence bordering allotments The Chair and Vice Chair were delegated with the Clerk to spend an amount up to £1100 on the materials for the fence/gate and the hire of a post hold digger on the proposal of Cllr Palin, seconded by Cllr Dargue and agreed.

8.2: Memorial wall – The Clerk updated that the materials had been purchased and the work was being progressed.

The cemeteries draft budget was accepted on the proposal of Cllr Mrs Lewis, seconded by Cllr Bilboe and agreed.

8.5: Consideration of memorial plaque request form – The Clerk was delegated to work on the form for approval by the Chair and Vice Chair.

8.6: Consideration sizes of memorial plaques sizes – Cllr Palin proposed a larger plaque to the size of 305mm x 205mm be available, this was seconded by Cllr Mrs Dargue and agreed.

 

9. INFORMATION ITEMS:

9.1: Final draft of West Cemetery Rules and Regulations – with amendments suggested, the final draft was delegated to the Clerk with Chair and Vice Chair to approve.

 

10. DATE & TIME OF NEXT MEETING:  The next Meeting is scheduled to be held on Thursday 20th December 2012 at 5.00p.m. in the Council Office, The Quayside
