Minutes of the Cemeteries Management Committee held 20th September 2012

Minutes of Amble Town Council Cemeteries Management Committee Meeting held on Thursday 20th September 2012 at 6.30pm in the Town Council Office

Due to the inclement weather, the site visit was cancelled.

 

1.  PRESENT: Councillors Weir (Chairman), Bilboe, Hinson, Palin, Mrs Dargue and, Mrs Lewis together with the Clerk, Miss Brown.

 

2.  APOLOGIES FOR ABSENCE: None.

 

3.    DECLARATIONS OF INTERESTS: None.

 

4.    CLERKS REPORT:

4.1: Enquiry to electrician over heating for Cemetery Office – quotes had been requested

4.2: Husqvarna cutting belt repair

4.3: Machine store roof repair and weed kill – The Clerk informed that the Operatives had enquired about the storage of several replacement belts.  This would be reviewed in the Spring once decisions regarding the working of the cemetery had been established.

4.4: Memorial Mason removed unsteady stone from East Cemetery – this had not been authorised and should be recorded as so in the visitor’s book. The Clerk would investigate the matter further.

The Clerks report was proposed for acceptance by Cllr Mrs Lewis, seconded by Cllr Hinson and agreed.

 

5.  VISITOR’S BOOK AND TIMESHEETS:

5.1: The Superintendent’s Futures Report will be presented for inspection by the Members.

5.2: The time sheets will be available for inspection

5.3: The Visitor’s Book is available for inspection at the office from Thursday afternoon.

5.4: Site visit – The site visit would be rescheduled to take place on Thursday 27th September at 5.30pm.

 

6 Member’s Comments on the Future Report, Visitor’s Book, Timesheets and the condition of the Cemetery

The Operatives had stated their wish to complete works on the memorial wall.  This was delegated to the Chairman of Cemeteries and the Clerk within the budgeted allowance on the proposal of Cllr Mrs Lewis, seconded by Cllr. Bilboe and agreed.

Works were to take place on the fence that borders the Cemetery with the West Allotments, fencing materials would be required- the Chairman and Clerk were similarly delegated to investigate materials etc. required.  The weeds in the allotments were to be cut back as was the ivy on Gloster Hill.

 

7.  COMMUNICATIONS: None.

7.1: Cllr Mrs Lewis as a private individual had compiled information and a photographic record of the memorials of the East Cemetery which she gifted to the Cemeteries Committee on a CD.  Cllr Weir thanked Mrs Lewis for the collating and provision of this information.

 

8. AGENDA ITEMS:

8.1: Consideration of remaining matters raised in Fire Risk Assessment deferred from June meeting – The Clerk informed of the need for fixed electrical heating in the West Cemetery Office.  Cllr Bilboe proposed the purchase of thermostatically controlled electric heating with a frost detection setting on a timer for the office and the mess room at the West Cemetery.  This was seconded by Cllr Dargue and agreed.

8.2: Cemeteries Records Storage and Useage – Cllr Mrs Lewis informed that following an individual’s online publication of East Cemetery records (in partnership with Woodhorn) minus the plot numbers the Clerk had requested a copy of the transcription policy (this would be circulated among members).  A letter should be sent to Woodhorn stating that although we agreed to public access of our records within Woodhorn we assumed we retained copyright.  The Clerk would clarify the position of ownership of documents when in storage and bring details to the next meeting of the Committee.

8.3: East Cemetery- Update Pte. Sydney Crackett CWGC headstone – Cllr Mrs Lewis explained the history of this memorial for the benefit of the newer members.  The clerk would keep chasing this up.

8.4: Consideration of plan for West Cemetery extension – The members were pleased with the plans for section P and suggested additions be added for the ashes under the tree line.  A quote would also be requested for the mapping of section M as this had not been done correctly in the past.
