Cemeteries Management Committee minutes of meeting held on 17th May 2012.

Minutes of Amble Town Council Cemeteries Management Committee Meeting held on Thursday 17th May 2012 at 6.30pm in the Town Council Office

 

1.  PRESENT: Councillors Weir (Chairman), Bilboe, Hinson, Palin, and Mrs Dargue together with the Clerk.

 

2.  APOLOGIES FOR ABSENCE: Cllr Mrs Lewis; this was proposed for acceptance by Cllr Mrs Dargue, seconded by Cllr Bilboe and agreed.

 

3.    DECLARATIONS OF INTERESTS: None

 

4.  CLERKS REPORT: CLERKS REPORT:

4.1: Planting purchased for Memorial Wall

4.2: Natural Burials leaflet approved for printing

4.3: Fire risk assessment carried out

4.4: Memorial audit letters sent to plot owners

4.5: Machine demo arranged to take place at West Cemetery

4.6: Clerk contacted arborist re: next stage of tree maintenance

4.7: Further brush cutting training arranged for Groundsman

4.8: Clerk and Chairman met with Superintendent and agreed perennials instead of annuals for fountain bed.

4.9: Long handles trimming spade ordered

4.10: Vandalism at Memorial Wall, plants pulled up.

The Clerks report was proposed for acceptance by Cllr Weir, seconded by Cllr Hinson and agreed.

 

5.  VISITOR’S BOOK AND TIMESHEETS:

5.1: The Superintendent’s Futures Report will be presented for inspection by the Members.

5.2: The time sheets will be available for inspection

5.3: The Visitor’s Book is available for inspection at the office from Thursday afternoon.

 

6 Member’s Comments on the Future Report, Visitor’s Book, Timesheets and the condition of the Cemetery

No futures report was provided.  No comments made.

 

7.  COMMUNICATIONS:

7.1: Resident re: wishing to erect a memorial without purchasing a plot – after a discussion Cllr Hinson proposed that although the Council were sympathetic to the situation. Council policies and fees should be adhered to.  This was seconded by Cllr Palin and agreed.

 

8. AGENDA ITEMS:

8.1: Consideration of revised Interment form – The Clerk had revised the interment form so that plot owners would sign to state they were aware of rules and regulations.  Cllr Weir suggested circulating to members and deferring to the June meeting of the Committee.

8.2: Consideration of Fire Risk Assessments – The Clerk detailed the findings of the assessment; Cllr Bilboe proposed all urgent requirements be actioned.  This was seconded by Cllr Hinson and agreed.

8.3: Consideration of media headline re: theft of momentoes from a grave – Cllr Weir reminded the Committee that momentoes of any kind were not permitted on graves in Amble West Cemetery.  Cllr Weir proposed a letter be written to the media source delegated to Cllr Hinson, the Clerk and himself in response to the article.  This was seconded by Cllr Mrs Dargue and agreed.

10. DATE & TIME OF NEXT MEETING:  The next Meeting is scheduled to be held on Thursday 21st June 2012 at 6.30 p.m. in the Council Office, The Quayside
